Feature · Passes & check-in

Every guest gets a pass. Every entry is tracked.

One pass per guest, issued from their single guest record — QR, Wallet, or just their face. At the door, face, QR and a name search all open the same gate, and no one is ever turned away. It runs the same at a palace sangeet, a conference badge desk, an expo turnstile, a college fest or a launch.

Pass composer

Design the pass once. The engine fills in every guest.

You decide what every pass says; the engine pulls each guest's details from their one guest record — name, gate and entry time, table, dinner preference, driver pickup, a relation line. Pick a template, brand it, and the gate device pairs from the same screen.

  • Four templates — Classic Cream, Noir, Marigold, Minimal — re-render on save
  • Always on: event name & date, QR code, guest name, pass #
  • Toggle gate & time, table, dinner, driver pickup and a relation line
  • Guest-specific lines flow from the Guests row — edit there, the pass updates
  • Issued the moment a guest RSVPs yes — confirmation screen and WhatsApp
  • Track issuance (178 of 214), retry bounced deliveries, arm the gate

In the guest's pocket

The pass lands in their pocket.

The moment a guest RSVPs yes, their pass appears in the Tonight hub — a QR ticket with their name, gate, entry time, seat, dinner and driver pickup. They can add it to a wallet, or skip it entirely and walk in by face.

  • QR ticket with name, gate, entry time, seat, dinner and driver pickup
  • Add to Apple Wallet or Google Wallet — it lives on the lock screen
  • "Or just walk in — your face is your pass"
  • Taps through to the venue map and directions to the gate

The gate station

Any crew phone becomes a gate.

Point a crew device at the scanner QR and it pulls a small gate pack and runs offline — no app to install. The station shows who's on shift, a live check-in count, the gate pack status, and three ways in.

  • No app install — a crew phone or tablet pairs by QR
  • Gate pack ~1.4 MB, works offline; scans queue and sync when back online
  • Live counter — checked in tonight, and when the gate opens
  • Pick how they come in: Face, QR pass, or Name search

The entry ladder

Face first — QR and a name always behind it.

No guest is ever turned away.

1

Face

Guests walk up to the crew tablet. Their face is matched locally on the device — your face isn't streamed anywhere at entry — and the doors open with a green tick and their name in about two seconds.

2

QR pass

Not enrolled, or phone dead on face? Scan the QR on the pass, or key the pass number by hand. It reads on the device, offline-capable.

3

Name search

No phone and no face? Type a name and search the guest list right on the device — check in, mark the RSVP confirmed, done.

Enrolment & consent

Face entry is opt-in, and revocable.

Enrolment is a separate opt-in at join — the join selfie plus a distinct FaceGate consent. Faces are matched on the gate device, never sent to the server, and the selfie stays inside the one event. One tap turns face entry off; the QR pass and name search still work.

  • A separate FaceGate consent at join, on top of the photo selfie
  • Matched at the door on the gate device — your face isn't streamed anywhere at entry.
  • The selfie stays inside this one event; gone after it ends
  • Retake the selfie or turn face entry off anytime — the pass still works
